According to the 3-2-1-1-0 rule, the "3" signifies that you should maintain at least three copies of your essential data. This includes the original file. For instance, you could keep one copy on your laptop, a second in cloud storage, and a third on an external hard drive. This ensures that if one device fails, the other copies remain safe.

In the 3-2-1-1-0 rule, the "2" refers to using two different storage media. Simply creating multiple copies isn't enough; backups should be stored on at least two distinct types of storage media—such as an HDD and an SSD, or an external drive and the cloud. The advantage here is that if a problem affects one storage technology, the other copy remains intact.

The first "1" in the 3-2-1-1-0 rule means keeping one backup at a different location. At least one copy of the data should be stored somewhere other than your home or office. Events like fire, theft, or natural disasters could compromise both your local device and your backup if they are kept in the same place. Cloud storage can serve as an option for this type of off-site backup.

Another step is to keep one backup offline. To protect against cyberattacks like ransomware, at least one backup should be kept offline. If an external hard drive remains constantly connected to the computer, a virus could potentially access the data stored on it. Therefore, it is considered safer to disconnect the drive once the backup process is complete.

Simply creating a backup is not enough; the '0' in the rule implies that the backup must be functional and error-free. Periodically open files, check the drive, and access your cloud backup to ensure the data can be recovered when needed. Performing a test restore is also a useful practice.
