No Room for Errors in CBSE Student Forms: New Directives Issued to Schools

The CBSE has instructed all schools to ensure there are no errors in students’ names, dates of birth, or other personal details. The Board emphasized the necessity of accurate student information on Class 10 and 12 marksheets.

The Central Board of Secondary Education (CBSE) has directed all schools to ensure that there are no mistakes regarding students’ names, dates of birth, or other personal information. The Board stated that accurate student details are essential for the marksheets issued after Class 10 and 12. To facilitate this, schools and parents are given opportunities to verify records at multiple stages—from Class 9 through Class 12—and rectify any errors promptly. The CBSE directive instructs schools to carefully verify student information at every stage: from initial registration and the submission of the ‘List of Candidates’ (LOC) to the issuance of admit cards for the examinations.

According to CBSE, students’ demographic details must first be accurate in the school’s own records. This includes admission forms, scholar registers, and admission-withdrawal registers. The same accurate information must also be recorded on the Transfer Certificate issued by the school. At the time of Class 9 registration, schools and parents are required to verify and certify the students’ details. Following registration, CBSE provides a correction window allowing for the rectification of any errors in the uploaded information.

Verification on Admit Cards Prior to LOC Submission

CBSE has instructed schools to download registration cards and provide them to students for the verification of their details. Before submitting the Class 10 List of Candidates (LOC), schools must re-check the entire dataset and obtain confirmation from parents. A correction window remains available for making changes even after the LOC has been submitted. Students, parents, and school principals are also required to verify the details recorded on the admit cards issued before the examinations. To this end, an undertaking confirming the accuracy of the information is obtained from the concerned parties. Schools can submit requests to CBSE for corrections to demographic details even before the results are declared.

Around 20 opportunities from Classes 9 to 12

The Board stated that this verification and correction process is repeated in Classes 11 and 12 as well. Consequently, students and schools get approximately 20 opportunities between Classes 9 and 12 to verify demographic details. Despite this, CBSE continues to receive a large number of requests for corrections to names, dates of birth, and other personal information after the results are declared. According to the Board, applications submitted by schools in such cases are often incomplete.

CBSE’s strict stance on incomplete documentation

CBSE noted various shortcomings in correction requests. In some instances, schools fail to provide necessary records or do not submit certified documents from the student’s previous school. Often, submitted documents are illegible or contain excessive overwriting or alterations. The Board also mentioned that some schools fail to respond in a timely manner when additional documents are requested, leading to delays in processing correction requests.

Instructions to schools to maintain 100% accurate records

CBSE has directed all schools to ensure that the demographic details of students in their records are 100% accurate. Schools must strictly adhere to the guidelines issued by the Board during registration and the submission of the List of Candidates (LOC). Verifying information with parents is also mandatory. If a request for correcting a student’s details is submitted to CBSE, the school must provide certified records from all of the student’s previous schools, wherever applicable. The Board has clarified that incomplete correction requests will be summarily rejected.
