EPFO Update: Wrong Service History on Portal? Take These 4 Steps to Avoid PF and Pension Issues

Following recent technical changes to the EPFO portal, many subscribers are seeing incorrect joining and exit dates in their service history. If you notice overlapping records on your portal, take heed; this minor error could jeopardize your PF and pension funds. Learn the easiest and most effective way to rectify this online from the comfort of your home.

Many EPF subscribers are facing technical glitches and record errors following a major IT system migration on the Employees' Provident Fund Organisation (EPFO) online portal. It is frequently observed that employment tenures from two different companies appear simultaneously—creating "overlapping records"—on the employee member portal. In some cases, the name of a previous employer is missing entirely, while in others, joining and exit dates have been recorded incorrectly.

Although these errors might seem minor or merely technical at first glance, they could prove to be major issues in the future. Incorrect data can hinder PF transfers when changing jobs, delay timely withdrawals, and interfere with the accurate calculation of pension (EPS) benefits. Furthermore, these erroneous records could cause complications during background verification processes at a new company. If you are facing such issues, there is no need to panic; simply examine your service history closely and take the necessary steps to make corrections, ensuring your hard-earned money remains safe.

First, immediately check these 4 essential points:

1. Are all accounts linked to the same UAN?

The Universal Account Number (UAN) is a 12-digit number that remains constant throughout your life. If you do not provide your existing UAN when joining a new job, a new UAN is generated. Alternatively, if a previous employer fails to record the 'Date of Exit,' discrepancies arise in the records. Log in to the Umang app or the portal to immediately check whether all your old and new PF IDs are linked to the same UAN.

2. Verify dates of joining and exit

You should cross-check the 'Date of Joining' and 'Date of Exit' displayed on the portal against your offer letter, appointment letter, or salary slip. An incorrect joining date could make it appear as though you were employed at two places simultaneously. Similarly, if the exit date is not recorded, your previous company might still appear as 'active'.

3. Check monthly PF contributions

Open your EPF passbook and verify that PF contributions have been deposited for every month you worked at a company. If an entry for a specific month is missing, it could indicate a reporting or deposit error.

4. Confirm KYC details

Ensure that your KYC details are correctly verified. Any mismatch in KYC information can prevent service records from being linked properly.

What to do if errors are found in your service history?

Procedure for closed companies

If your previous company has shut down or the employer is unreachable, you can submit a 'Joint Declaration'—signed by an authorized official—along with the necessary documents directly to the EPFO office.

Submitting a physical form

In cases where the UAN is not verified with Aadhaar, the UAN is missing, or a claim is being made following the member's demise, a physical 'Joint Declaration' form must be submitted through the employer.

How to file a grievance online

If you wish to resolve this issue from the comfort of your home, you can file a grievance on the official EPFO grievance portal. For this, you can visit [https://epfigms.gov.in/grievance/grievancemaster](https://epfigms.gov.in/grievance/grievancemaster).

Please note that when filing a grievance, you should upload necessary supporting documents—such as your appointment letter, relieving letter, salary slip, UAN service history, and PF contribution records—to substantiate your claim. Indeed, taking this step at the right time can save you from future hassles, such as issues with getting your PF claims processed.
